We are currently looking for an Office Services Assistant, who will report to the Senior Office Manager, with the primary objective of supporting facility processes and resources and helping to create a productive, safe and engaging environment for TEAMS colleagues and guests.

TEAMS is an award-winning design firm specializing in global, product-oriented brand development in industrial design, user experience design and interaction design.

 

The Chicago studio is a creative environment in a light-filled, open loft with a great view of the city’s famous skyline. Centrally located in West Town we’re nestled in the middle of a creative warehouse neighbourhood that’s home to art and design studios, architectural salvage stores, and two pro sports teams. We enjoy biking to work, caffeinated beverages, and competitive lunchtime foosball in a pet-friendly environment.

Your Responsibilities

  • Schedule and procure domestic and international travel arrangements
  • Write formal business correspondences based on provided drafts
  • Maintain calendars and schedule appointments
  • Organize and oversee maintenance of contractors
  • Interact with clients, vendors, and office personnel in a professional manner
  • Conduct daily mail pickup and distribution, FedEx/UPS shipping (create labels, pack/unpack boxes, screen letters and scan/email important correspondence, etc.)
  • Run general errands, as necessary (Valid driver’s license needed)

What you should bring to the table

 

  • High degree of English proficiency
  • High proficiency in Office 365 (Word, Outlook, and Excel) and Microsoft Teams
  • High school diploma and/or college degree with 1-2 years in an office environment
  • Valid driver’s license and personal vehicle (work-related trips, other than to and from the office, are insured and paid for by the company)
  • Professional Traits: committed to service excellence; positive “can do” attitude, proactive, detail-oriented and organized; productive and efficient in completing tasks; able to work independently and use good judgement; contributes enthusiastically in a team setting.
  • Ambitions to grow within role, with potential to become Senior Office Manager

 

A big plus but not required

  • Proficient in German, other language skills are also welcome
